I looked into the price of food and drinks at the upcoming conference to get
some idea what we'd have to charge to recover the costs. My assumptions were
based on morning and afternoon coffee and lunch on Saturday and morning coffee
and lunch on Sunday. I've received one quote so far and I've compared it to one
on-line price list, both including simple hot lunches and cookies with
coffee/tea. We can decide the details later (e.g. including soup as an
appetizer, or maybe just sandwiches instead of a hot lunch) , but this at least
gives us a starting point. The quote I received was for 30 servings, so
different numbers could change the price.

Here's a summary, including taxes. Both prices are for meat lasagna and
goulash meals, and do not include any service (so we'd be serving ourselves and
presumably bussing but not cleaning our own dishes).

Total for 30 people: 1057€

Total for 30 people: 358€
Price per person: 11.92€

So, those are two extremes, but it gives us something to work on. I haven't
eaten either of their food, so I have no opinion on that. I can get more
detailed estimates if I can answer the following questions:

1) Do we have a room in the office building that's set up appropriately for
dining? I assumed we would, but if not, we'd have to rent an appropriate room
nearby or set up a portable tent or not cater at all. Or, we may need to add
in the cost of disposable tablecloths or pay the caterers to clean up or
something.

2) Do we want coffee Sunday afternoon as well? If the conference winds down by
mid-afternoon, then we wouldn't need to.

3) Do we want a hot lunch or cold one? A Bavarian Brotzeit buffet can be really
delicious too (bread, cheese & cold cuts, such as Fischer's Fränkische Platte)
and lend a more local flavour (literally), but I don't know if would actually
be any less expensive. If we're going to plan an optional group dinner in the
evenings, then a cold lunch wouldn't be too bad. For that matter, does anyone
have any complaints about the suggested menu above?

4) The quote I received needs to be ordered by the end of January, so we'll
have to warn people registering later than then that they might not have lunch
included (or add a surcharge). But we could order a few extra meals to be safe,
and I hope changing the numbers slightly could still be done a week ahead of
time.
